Start with the journey through the door
List the people who use the entrance and what each needs to do. Residents or staff may need regular access, while visitors and delivery drivers need a reliable way to reach someone. The best starting point is the daily routine, including what happens when the usual contact is unavailable.
In a shared building, involve the people responsible for managing access. Agree who can add or remove users and how changes will be handled when someone moves out or a staff member leaves. These responsibilities should shape the specification early.
Treat the door as part of the system
An intercom does not work in isolation. The door, lock, closer, available power, and existing wiring all affect what can be installed. Share photos and details of the current equipment, but expect compatibility to be checked before reusing it.
A new screen or reader cannot solve every mechanical door problem. Discuss reliable closing and locking alongside the electronic controls. Any applicable building, accessibility, and emergency-exit requirements need to be addressed for the property before work is agreed.
Choose how calls and credentials should work
Decide how a visitor finds the right person, where a call is received, and how entry is authorized. Phone-based features, indoor stations, and credential options vary by equipment. Confirm the features you need and any dependencies, subscriptions, or ongoing charges before selecting a system.
Consider residents or staff who may not use a smartphone. A practical plan should explain the available access methods and what happens if a device is lost, a connection fails, or an account needs changing. Ask for the proposed behavior to be explained in everyday terms.
Plan the changeover and handover
Agree when the entrance can be worked on and how people will access the building during the changeover. Existing wiring, equipment availability, and building access can affect the sequence and scope. Keep essential arrangements explicit rather than assuming them.
Before completion, ask for the agreed visitor and regular-user journeys to be demonstrated. Confirm account ownership, user administration, documentation, and the support arrangements included in the project. Clear handover makes the upgrade easier for everyone who uses the door.
